BenchSlate terms of use

Version 2 · Last updated: November 3, 2026

These terms take effect on November 3, 2026. If you created your account before that date, they apply to you from December 3, 2026; until then, the previous version applies.

The short version. Your tryout data stays yours. Use BenchSlate lawfully, and only enter player information you have the right to use. BenchSlate supports coaches’ decisions, and those decisions remain yours. BenchSlate is provided “as is”, and our responsibility to you is limited (sections 13 and 14). If you break these terms or the law, or enter information you had no right to use, and someone makes a legal claim against us because of it, you may have to cover our costs (section 15). You can stop using BenchSlate and delete your account at any time.

1. Agreeing to these terms

These terms are an agreement between you and us. By creating an account or signing in, you agree to them and acknowledge our Privacy policy, which explains how we handle personal information. If you don’t agree, don’t sign in. The demo saves nothing and needs no account, but sections 8, 9, 13, 14, 17 and 18 still apply when you use it.

2. Who we are

BenchSlate is made by Sixteen Mile Studio, a sole proprietorship registered in Milton, Ontario, Canada (“we”, “us”). These terms cover the BenchSlate app and the benchslate.app website (together, “BenchSlate”).

3. Who can use it

You must be 18 or older, or the age of majority where you live if that is higher, to create an account. BenchSlate is for coaches, tryout evaluators and the people who run tryouts. Players don’t use BenchSlate or have accounts. If you use BenchSlate for an association, club or team, you confirm you’re allowed to use it for them.

4. Your account

Give us a correct email address and keep your sign-in safe. You’re responsible for what happens in your account. Tell us right away if you think someone else has used it.

5. Using BenchSlate

You may use BenchSlate for your own tryouts and those of your organization. This permission is personal to you and ends when your account ends. We may change, add or remove features as the product develops. If we remove something important, we’ll try to tell you first.

6. Your tryout data

What you enter or import stays yours, including rubrics you build or customize, even if they started from one of our templates. You allow us to store, copy, sync, back up, process and display your tryout data, only as needed to:

  • run BenchSlate for you, including calculating scores and rankings from your rubric
  • keep BenchSlate and your data secure
  • help you when you ask for support
  • restore a deleted tryout you ask us to restore, within the recovery period in the Privacy policy
  • do what the law requires, including acting on a valid request about someone’s personal information

We look at your tryout data only to help with a problem you’ve asked about or when the law requires it. We don’t sell your data, show ads with it or use it to train AI.

7. Player information

Players are often children, so take particular care. You’re responsible for:

  • having the right to enter information about players and their parents or guardians, for example through your association’s registration and privacy notice
  • entering only what the tryout needs, and keeping health, family and other sensitive details out of notes unless the tryout genuinely needs them
  • keeping notes fair, factual and respectful, with nothing discriminatory, defamatory or unrelated to the tryout
  • following privacy law and your association’s rules on collecting, sharing, keeping and deleting player information, including when your role with the association ends
  • sharing results and exported files only with people entitled to see them, such as your selection committee, and keeping exported files secure
  • handling requests from players and parents about information you hold

If a player or parent contacts us directly, we’ll usually refer them to you or your association, and we’ll act ourselves where the law requires it.

8. Fair use

Don’t:

  • break the law, mislead anyone or violate someone else’s rights
  • harass or demean anyone, including in player notes
  • get into accounts or data that aren’t yours, or bypass our security
  • upload harmful code, overload the service or interfere with how it runs
  • copy data from BenchSlate with automated tools, or copy, resell or reverse engineer BenchSlate, except where the law allows it

9. Our app and content

We own BenchSlate, including its software, design, name, logos and starter templates. You may use them only as part of using BenchSlate. If you send us ideas or feedback, we may use them without owing you anything. This doesn’t give us any extra rights to your tryout data.

10. Other services

BenchSlate relies on other companies, including sign-in providers such as Google, app stores, and hosting and email providers. Their own terms may apply when you use them, and we don’t control their services. The Privacy policy explains which providers handle personal information.

12. Ending your use

If you leave. You can stop at any time. Delete your account in the app, or email us from your sign-in address and we’ll delete it within 30 days. The Privacy policy explains what is deleted and when. Export anything you need first.

If you’re inactive. If you don’t use BenchSlate for two years, we may delete your account and its data. We’ll email you at least 30 days before, and using BenchSlate again keeps your account.

If we suspend or close your account. We may suspend or close an account that seriously or repeatedly breaks these terms, is used for fraud, creates a security risk, or puts others at risk. Where it’s reasonable and safe, we’ll tell you first. Before we close an account, we’ll give you a chance to export your data unless the law or someone’s safety prevents it. After that, we delete the data as the Privacy policy describes.

If BenchSlate shuts down. We’ll give at least 30 days’ notice in the app or by email so you can export your data. After that we’ll delete it as the Privacy policy describes.

Sections that should reasonably continue, including 9 and 13 to 18, still apply after your account ends.

13. No guarantees

Except for rights the law doesn’t let us exclude, BenchSlate is provided “as is” and “as available”. We work to keep it running and your data safe, but we can’t promise it will always be available or free of errors, or that data will never be lost. Keep your own exports of anything important, and have a backup plan, such as paper sheets, in case BenchSlate isn’t available during a tryout.

BenchSlate saves your work on your phone first and copies it online when you’re signed in and connected. Until a phone syncs, its latest changes exist only on that phone, so losing the phone or uninstalling the app before then can lose them. If the same tryout is changed on two devices before they sync, one change may replace the other.

Scores and rankings are calculated from what coaches enter and how the rubric and weights are set. They support decisions but don’t make them, and they may not suit every sport, league or selection process. Check anything important, because selection decisions and their results are yours.

14. Limits on our responsibility

As far as the law allows:

  • we aren’t responsible for indirect or consequential losses, or for lost profits, revenue or data
  • we aren’t responsible for team, selection or other decisions made using BenchSlate
  • our total responsibility for all claims combined is limited to the greater of what you paid us in the 12 months before the claim or CA$100

These limits don’t apply to fraud, gross negligence or deliberate wrongdoing by us. Nothing in these terms limits responsibility or consumer rights that the law doesn’t allow us to limit.

15. Claims caused by you

If someone makes a legal claim against us because you broke these terms or the law, entered player information you had no right to use, or wrote notes that are defamatory or otherwise unlawful, you’ll cover our reasonable costs of dealing with it, including reasonable legal fees. This doesn’t apply to the extent we caused the claim, including through a fault in BenchSlate, such as a calculation error, or a security problem on our side. We’ll tell you promptly about any claim this section covers, and we won’t settle one in a way that admits fault on your behalf without your agreement. This section still applies after your account ends and doesn’t take away any consumer rights the law gives you.

16. Changes to these terms

We may update these terms, and the version and date at the top will show when. If a change is important, we’ll tell you in the app or by email at least 30 days before it takes effect, unless the law or a security issue requires a faster change. If you don’t agree with a change, stop using BenchSlate and delete your account before it takes effect. If you keep using BenchSlate after the change takes effect, you accept it.

17. Law and disputes

These terms follow the laws of Ontario and the laws of Canada that apply there. Please contact us first so we can try to sort out any problem. If we can’t, disputes go to the courts of Ontario, unless consumer law where you live gives you the right to go to court there.

18. General

These terms and the Privacy policy are the whole agreement between you and us about BenchSlate. If they differ on how personal information is handled, the Privacy policy applies. If part of these terms can’t be enforced, the rest still applies. If we don’t enforce something right away, we can still enforce it later. You can’t transfer your account or these terms to someone else without our agreement. We may transfer them if BenchSlate is sold or reorganized, as long as your rights under them aren’t reduced. We may contact you about your account at the email address on it.
