BenchSlate privacy policy
Last updated: October 26, 2026
Who we are
BenchSlate is made by Sixteen Mile Studio, a small software developer in Milton, Ontario, Canada. Sixteen Mile Studio is responsible for the personal information described here, and our Privacy Officer answers questions about it at info@benchslate.app.
This policy covers the BenchSlate app and the benchslate.app website.
What we collect and why
We collect only what BenchSlate needs to work, and only when you use a feature that needs it.
| What | When | Why |
|---|---|---|
| Your email address | When you sign in | To send your sign-in codes, know which account is yours, and contact you about your account or changes to this policy. |
| Your name and profile picture link | Only if you sign in with Google. We never receive your Google password. | Google sends them with the sign-in. We don’t use them for anything else. |
| Sign-in records: time, IP address, device or browser type | When you sign in | Kept by our hosting provider for security and troubleshooting only. |
| Your tryout data: tryouts, rubrics, players, scores, notes and saved templates | Only if you turn on online sync in the app | To keep your tryouts safe and the same on your own phones. |
| Purchase records | Only if you buy a paid plan, once one is offered | To know which plan your account has. |
Players are often children. Synced player details are exactly what you entered or imported, such as names, birth dates, tryout and registration numbers, and parent or guardian names, emails and phone numbers. We collect nothing you didn’t type or import. Sync never sends the demo tryout, your import column choices or other app settings.
Unless you turn on online sync, no tryout data is sent anywhere, even if you are signed in. You can turn it off, and delete the online copy, at any time.
What we don’t do
- We don’t sell or rent personal information, or share it with anyone for their own purposes.
- We don’t show ads, and we don’t use analytics or tracking in the app or on our website.
- We don’t collect your location, contacts, photos or advertising identifiers.
- We don’t use your information, or your players’, to train AI.
- We don’t contact players or their parents.
- We don’t look at the tryout data you sync, except to fix a problem you’ve asked us to help with, or when the law requires it.
Players and children’s information
BenchSlate is for coaches and tryout evaluators. You must be 18 or older to create an account. Players don’t use BenchSlate or have accounts; coaches enter their details.
If you enter or import information about players, especially children, you’re responsible for having the right to do so, for example through your association’s registration and its privacy notice. Enter only what you need for the tryout, and keep notes fair and factual: players and parents can ask the coach or association to see the information held about them.
Parents and guardians: each coach controls their own tryout data, so please ask the coach or association that ran the tryout first. If you can’t reach them, email us and we’ll help where we can.
Paid plans
BenchSlate may offer paid plans. If you buy one, the purchase is handled by the app store you buy it from (such as Google Play) or by a payment or subscription service we use. They collect and handle your payment details under their own privacy policies. We never see or store your full card number. We receive only what we need to know which plan your account has, such as a purchase confirmation, its date and its status.
Where it is kept and who helps us
Account and synced tryout data is stored with Supabase, in a data centre in Canada. A few other service providers help us run BenchSlate, and each acts only on our instructions:
- An email delivery service sends your sign-in codes, so it handles your email address.
- If you choose Google sign-in, Google handles that part under its own privacy policy.
- Cloudflare hosts the benchslate.app website. Like any web host, it may record technical details such as your IP address for security.
- App stores and payment services handle purchases, as described above.
Some of these companies are based outside Canada, mainly in the United States, and may handle or access your information from there. Information handled outside Canada may be subject to the laws of that country, including lawful requests from its courts and government. Email us for the current list of service providers.
Each coach can see only their own data. This is enforced by the database itself, not only by the app.
On your phone
Everything you enter is saved on your phone first. It stays there until you delete it in the app or uninstall BenchSlate.
Files you export or back up are yours. Once you share one by email, Drive or another app, it’s handled by whoever you send it to. If your phone backs up apps to your Google account, Android may include BenchSlate’s data in that backup; Google keeps it in your account, not us.
How we protect it
Information travels between the app and our servers over encrypted connections, and Supabase encrypts the data it stores. Your sign-in is kept in Android’s protected storage. Tryouts on your phone are protected by your phone’s own lock, so please use a screen lock.
No system is perfectly secure. If a breach involving your information creates a real risk of significant harm, we will tell you and report it to the Office of the Privacy Commissioner of Canada, as the law requires.
How long we keep it
- Your account and synced data: until you delete it. Deleting your account removes your email address, name and everything stored online for it from our database.
- Unused accounts: if an account hasn’t been signed in to for two years, we may delete it and its online data. We’ll email you at least 30 days first, and signing in keeps it.
- Sign-in records and backups: our hosting provider removes these on its own schedule. Backups are used only to recover from a system failure.
- Purchase records: kept as long as tax and accounting rules require, even after an account is deleted.
Delete your account and data
- In BenchSlate, tap Options on the Tryouts screen, then Account.
- Tap Delete my account and data and confirm.
To delete only the online copy of your tryouts and keep your account, tap Delete the online copy in the same place.
Deleting your account removes everything stored online for it. Copies already on your phone, and any backup files you saved yourself, stay with you; delete them from your phone as you like. If you can’t use the app, email info@benchslate.app from the address you signed in with and we will delete the account within 30 days.
Your rights
Under Canada’s privacy law (PIPEDA), and provincial privacy laws where they apply (for example in Quebec, Alberta and British Columbia), you can:
- ask what information we hold about you and how it’s used and shared;
- ask us to correct it;
- ask us to delete it;
- withdraw your consent, for example by turning off sync or deleting your account.
Email info@benchslate.app. We’ll reply within 30 days, and may ask you to confirm the account is yours. If you’re not satisfied with our answer, you can complain to the Office of the Privacy Commissioner of Canada or your provincial privacy commissioner.
Changes to this policy
When this policy changes, we’ll update the date at the top. If a change affects how we use information you’ve already given us, we’ll tell you in the app or by email before it takes effect.
